Trust, privacy and your data
Who exactly will be working in my inbox?
One person, and you know who. Your assistant is introduced by name before we start, and stays your assistant. No rotating team, no call centre.
How do you handle my data and the GDPR?
We only get access to what is needed for the agreed tasks, and we sign a data processing agreement (verwerkersovereenkomst) with you. Your data stays in your own systems. We never move client data to tools you did not approve.
Do you need my passwords?
No. We work with delegated access or a password manager, so you share access without ever showing the password. You can withdraw that access yourself at any moment, without asking us.
What happens if my assistant is ill or on holiday?
We tell you in advance when we are away, and urgent work is agreed before it happens. We are honest about this: we are a small agency, so we do not promise an instant replacement. What we do instead is write down how your work is done and automate what can be automated, so the routine keeps running even when a person is not there.
Is this legally safe? I do not want a disguised employment relationship
You hire a company, not an employee. We work for several clients, use our own tools, and decide our own hours within the agreed availability. You get an invoice, not a payslip.
How we work
How do you start?
In three steps. Scan: a free 30 minute call in which we go through your week and find where your time leaks away. Match: we decide which work goes, who takes it over and in which language. Build: what repeats every week we automate, the rest your assistant does.
How do I keep track of the hours?
You get a weekly overview of the hours used and what was done with them. No surprises at the end of the month.
What if I do not use all my hours?
Unused hours move to the next month, once. That way a quiet month does not cost you money.
Can I try it first?
Yes. You can start with a small starter pack of 5 hours, so you see how we work before you take a monthly plan.
In which languages do you work?
Dutch, English, French, German and Spanish. Your clients get an answer in their own language, which is the whole reason this agency exists.
Money and contract
What does it cost?
Flow 10 is 10 hours a month for 390 euro, Flow 20 is 20 hours for 760 euro, Flow 40 is 40 hours for 1.480 euro. That is 39, 38 or 37 euro per hour. Extra hours are 45 euro, always agreed first.
Can I cancel?
Yes, monthly. One month minimum, then you can stop at the end of any month. No long contracts.
Is there VAT on the invoice?
No. Virtual Flow Agency falls under the French small business scheme, so the invoice says TVA non applicable, art. 293 B du CGI. For a business client in another EU country with a VAT number, VAT is reverse charged.
When do I pay?
Monthly, in advance. Automation projects are 50 percent at the start and 50 percent on delivery.
Automation
What does an automation cost?
One automation is 490 euro. An automation with AI, for example one that writes or judges text, is 890 euro. Three that work together are 1.900 euro. It always starts with a free 30 minute scan, and you get a fixed price before we build anything.
What if it stops working?
The first 30 days after delivery we repair it at no cost. After that you can take a maintenance plan: Care is 59 euro a month per automation and includes monitoring, repairs and one small change a month. Care Plus is 99 euro a month for up to three automations, with a monthly report. Without a plan, repairs are 45 euro per hour.
Is it mine?
Yes. What we build runs in your own accounts and stays yours, also if you stop working with us. You get short documentation so someone else can take it over.
I do not know what can be automated
That is exactly what the free scan is for. We look at the tasks you repeat every week, and you get an honest answer, also when the answer is that automating it is not worth it.
Can I learn this myself?
Yes. The Digital Productivity Program in our Academy teaches you to connect AI to your own email, calendar and tools, for 397 euro.

Who are the courses for?
For people who want to work as a virtual assistant: a busy parent who wants work that fits around the family, a student who wants to earn next to their studies, someone with a job who wants to start on the side, or someone who wants to build their own business.
Do I need experience or a diploma?
No. The programmes start at the beginning and show every step.
How long do I have access?
You keep access, also when new lessons are added. You work at your own pace and your progress is saved.
Do I get a certificate?
Yes, you receive your certificate when you complete the programme.
